Helping our hotel and hospitality customers overcome their NHS Track and Trace challenge

Hotels Restaurants Hospitality NHS Track Trace Solution

The easing of lockdown restrictions for hospitality came with the government asking hotels, restaurants and pubs to keep temporary records of their customers.

That way if it is ever discovered that one of your patrons is unwell, it will be possible to isolate the members of your team who served those guests, as well as allow the NHS to notify anyone else that was at your establishment at the same time.

What is NHS Track and Trace?

The NHS Track and Trace programme is an official service created by the government to help slow the spread of Covid-19, as described here https://contact-tracing.phe.gov.uk.

The way that they hope it will work is as follows:

  • If one of your patrons or team tests positive for coronavirus, the NHS Track and Trace team will ask them where they have been and who they have been in contact with.
  • When it turns out they have spent time with you, the NHS Track and Trace team will contact you and ask for details of your team and any patrons who were there at the same time.
  • You will provide a list and then the NHS Track and Trace team will reach out to everyone who may have been exposed and will ask them to self-isolate for 14 days and be on the lookout for symptoms.
  • If your patron does get symptoms, they would then be asked to take a test.

Through this service, the government is hoping to slow the spread of coronavirus by ensuring that people with symptoms are tested and those confirmed positive can self-isolate to reduce the spread.

How we are helping with Track and Trace

With hospitality businesses beginning to re-open in greater numbers, Cardonet have created a Track and Trace solution to allow our customers to support the government’s Track and Trace programme and effortlessly notify the NHS of guests or patrons who have had potential contact with infected persons should you be asked.

We recognise that there are a number of solutions out there to achieve the same end, from pen and paper to fully fledged and often expensive solutions, but we recognised that we had the in-house skill and felt that we should do our bit to help our customers initially, and then potentially the wider industry after that.

How our Hospitality Track and Trace Solution It Works

Cardonet will provide your establishment with a customised, branded QR code. Your team then asks a member of every group to scan the QR code using their trusted mobile device and that automatically takes them to a secure online form that has been created specifically for you.

Your customers are only asked for the bare minimum information, which should help reduce any privacy concerns, with a simple request for their full name and a contact number.

As mentioned, some people may have concerns over privacy and the use of their data; especially as there have been incidents where personal information given for the purposes of NHS Track and Trace has already been used to contact people inappropriately.

With the Cardonet Hospitality Track and Trace solution, your customer data will be kept securely for 21 days, as per NHS recommendations, after which it will be automatically deleted. This information will not be accessible to you or your team, which should re-assure your customers that their data won’t be misused, while also removing an administration headache for you. It will only be accessible by a select few at Cardonet and will only be shared or used for the purposes of an official NHS Test and Trace request.

We recognised the importance of data protection early, especially as much of your attention is rightfully being placed in other areas of your operation to help you succesfully reopen and restart your operations in a safe way.

We created the solution above to be as simple and transparent as possible for your customers, for you and for us. It will allow you to do your part to help prevent the spread of Covid-19 with the least possible disruption to your service.

The Results of Track and Trace so far

So far over 80% of our hospitality customers have taken up our solution and the reports thus far have only been positive. It is one further thing that they have been able to confidently tick off from their list for safe operations in a Covid-19 world, with one less challenge to overcome.
